Dear BWP Members,
It is time again for the annual keuring!   Online registration is now available at www.belgianwarmblood.com!  Registration is open thru July 9th.  Please don't delay in registering as there will be a fee of $50 per horse for late or on site registration.  Our judges are allotted only so much time per site for inspection so please register online so that all entries may be inspected!!

Attention Stallion owners!!  Prior to inspection by the judges, pedigrees, xray reports, and veterinary exam reports must be evaluated by Belgium.  If this information has not been made available, the stallion cannot be presented to the judges at the keuring site. Reports may be submitted to stallioninfo@belgianwarmblood.com.

Thanks to all!!!  We'll see you on the tour!!
Congratulations!

Keuring Tour

Online Registration
WEG
New Business and Old Business

The Keuring Tour - Growing to over 23 sites. Chris Sallee, Kelly Gordon and Julia Robinson will work on exact sites we will be attending so we can get flights booked. We have decided to focus our advertising dollars to online advertising with the COTH and other breeder frequented websites. It is believed we will get more exposure for the tour and our website for less money for this year, using online instead of print advertising in an attempt to save money for WEG advertising and budgets for next year.

Keuring & Awards - Dee Drott is ordering ribbons, halters and hats for the tour. We have decided to have a neck sash for stallion approvals along with halters (and select mares/elite mares) E-Label ribbons 24" for E-Label mares. Dee will use the online registration stats to determine what sites need sets of ribbons/halters/sashes and mail prior to their inspection date. Budget discussed for the awards.

Lifetime achievement award changes: Bronze- 30" ribbon , Silver- saddle pad , Gold-new cooler. In an effort to recognize and award stallions who've completed their stallion performance and achieved a Permanent License, Dee presented a cooler with embroidery for "Licensed BWP Stallions" with the "Stallion's name and Logo". It is an option to offer these stallion owners the opportunity to purchase these coolers themselves for $125-$150 to display at shows, on their stalls, for promotion & recognition. It is estimated that half of all stallions we approve each year will already have their permanent license (2007 & 2008 we approved 17 each year).

Online Registration - Cheryll will have this ready by June 1st and will remain open until July 9th.  Kelly to send a list of current paid 2009 members to Cheryll. We will allow breeders to send checks received for deposit no later then July 1st.

WEG - It was discussed the needs for booth curtains, staffing the booth, etc. Coordinate with BE to determine our budget. We reserved booth #817 and additional options next to this selection inside the Pavilion. Forming a committee to run the WEG and need volunteers from the membership!

By-Laws -The by-laws will need to be amended by a vote from 10 breeding members in good standing. The position of Executive Director will need to replace Managing Director language and the President position for the next election 2010 will be replaced with Chairman of the Board. We will need to determine if the Executive Director is a voting position. Chairman of the Board and Executive Director will have defined roles (for all positions) and work together to run the registry.

Select Mare Program - proposal to have 2nd E-label mares presented via video was agreed upon that this will be sufficient. Boudewijn Schepers has agreed it will be sufficient due to the fact we can not physically get to all sites each year. Videos must be sent to Chris Sallee no later then July 1st for consideration. Videos must show the mare as if being presented with conformation shot and triangle walk and trot. Elite mare x-ray requirements were emailed from Inge and will need to be added to the Directory or on our website.

NEW BUSINESS

BWP/NAD Hunter Book Pilot Program - In an effort to capture and grow the Hunter market, we will Pilot a Program on this year's tour as an "H" label for "Hunter" and creating a NAD "Hunter Book". All participants must be inspected by BWP and entered into either the foal book or main stud book, auxiliary book or stallion book prior to being inspected by the "Hunter" judge to acquire their BWP "H" Label.

The Hunter judge must be a USEF "R" rated judge and chosen regionally/locally by the site host and pre-approved by the BWP/NAD and Nancy Maloney.

Each site must have a minimum number of participants to cover the cost of the judge for the day ($250-$350). The site host will be responsible for travel/lodging expenses of the judge. There will be a $50 site fee paid by each site to cover the costs of ribbons and certificates. Each "H" label inspection is $50/horse. It will be open to all approved BWP foals, mares, geldings and stallions. The divisions will be the same as what we currently have but will need to add "Stallions &Geldings 3-6 and Stallions & Geldings 7+"

The participants will first receive their BWP inspection (if not previously inspected) and score and then a hunter score based on Hunter conformation and Hunter movement criteria. This score will be separate from the BWP keuring score. Each participant will receive a certificate with the "H" Label stamp and score.

There will be high score prizes at the end of the tour. We will start with 3-4 Hunter sites in 2009 and grow as needed.

Promotional Brochure - We will design a promotional brochure to hand out at the keurings and WEG that will have info on the BWP registry, stallions and mares as well as the different classes offered for BWP participants including the new Hunter "H" label, foal, yearling and two-year old futurity classes, Select and Elite Mare programs, "H" label for geldings that are 3-6, 7+ (new division and only for the "H" label). We will have for WEG and attempt to have it for this years keuring.

Mare Promotion - Our new mission is Mare Base Growth through Mare Promotion. We discussed the need to grow our mare base and believe that we can do that through the new "H" label, promotion of E-Label , Select and Elite mares in our brochure and Directory. Awards are needed for all these programs and Elite mares shall receive the same awards as stallions that complete their performance.  We need pictures and pedigrees of all these mares to publish.

Hunter Awards - Hunter Awards proposal (awards mirrored in the Jumper/Eventing/Dressage) .We discussed Year End BWP Hunter Awards for the following divisions. Those that participate must be a BWP member and pay $25 yearly for the Awards Program. Points must be submitted to the BWP by January 31st. Awards to be appropriate ribbons for Champion and Reserve Champion in each division.

New 2010 Directory Design - We will be redesigning the 2010 directory to be smaller, spiral bound, full color. We will decide the contents but will focus on selling advertising space. This new directory will be for one year and subsequent years if desired. The design will be easy to carry, ship and utilize at WEG. Members will still receive this as part of their membership dues, but we will also have them for sale at WEG and other promotional venues. We will determine the contents and offer BE to advertise their stallions as well (split the cost). Bruce Frank will get us some quotes for printing and binding.

Website Advertising - Maddy presented Widgets suggestion for breeder sites to advertise and link back to BWP website. She will find out additional info. Tentative amounts for charge for advertising "for sale" and "farm ads" $50/6mos and $100/1yr. If a horse is "sold" before the ad term is up, they can post "sold" on the ad and leave it or change it out for another sale horse for the remainder of the ad term purchased.

EVA positive stallions - BOD to further discuss our policies regarding EVA.
